Reports for ILL and PALShare

PALNI has a special situation because we have a group circulation system (PALShare) that permits patrons in our group to request holds and directly borrow materials from other libraries within the group. Some of these transactions might have traditionally been handled through interlibrary loan; others might have appeared as local circulation.

ACRL and IPEDS consider consortial borrowing to fall under the category of interlibrary loan, so PALNI libraries should include PALShare lending and borrowing data when calculating their Interlibrary Loan measures.

For PALNI libraries that wish to generate their own WMS reports related to PALShare, these options are available:

Toolkit for PALShare Lending: 

  • PALNI Circulation Events Measure for PALShare Lending: Total quantities of loans by local PALShare lending policy name

OCLC ILL Reports

WorldShare ILL Users:

  • From WorldShare Interlibrary Loan, click the link from the WorldShare Interlibrary Loan Home screen to go to OCLC Usage Statistics. Use your institution's nine-digit ILL authorization number and password to log in to the Usage Statistics portal. New reports are available by the 10th day of each month.  
  • Sign in with your nine-digit authorization number and password. Select OCLC Worldshare Interlibrary Loan.  
  • Select your institution.  
  • Select Lender Activity Overview Report or Borrower Activity Overview Report.  
  • In the report dialogue, set the period to the last month of the reporting period, and for 12 months.  
  • For "Returnable" use the "Loan" row. For "Non-returnable" use the "Copy" row.  The report can be exported into Excel to calculate totals.

Update Period to last month of reporting period, and choose 12 months:

PALShare Lending

To see what other PALNI libraries have borrowed from your library use the Circulation Events Detail Report for all PALNI "branches" other than your own.

PALShare Borrowing

To see what your patrons have borrowed from other PALNI libraries, reports are provided by OCLC and shared in Box.com. There is a person at each library that has access to the PALNI Reports in Box.com.  You will need to go into each month’s PALNI Circulation Events.  

To gather information for PALShare Borrow Requests:
1.     Go to Box.com and login
2.    Open up the PALNI Reports
3.    Open PALNI Circ Event (you will need to do this for each month)
4.    Download the document


 

5.    Copy and paste the “checked-out” items into another tab or document.  Don’t forget to add the row with the column labels.
6.    Find the Patron Institution column and highlight it.
7.    Click on the Sort and Filter button and then select Filter.
8.    De-select the “Select All” button and click on your institution.  This is how many items your patrons borrowed from other institutions.
